Description:
York is soliciting Proposals from experienced and qualified Proponents to contract with the most responsive Supplier to provide cradle-to-grave OUF Tradeshow booth services, including but not limited to:

Relocation of the York owned booth from the incumbent vendor’s storage location;
Delivery, unpacking, construction, disassembly, packing, transportation and storage of the York owned Tradeshow booth multiple times per year at:
- The OUF at the MTCC; and
- Other University events as required.
Supply, delivery and install of large format digital graphics for the booths;
Construction or building of new booth components as directed;
Supply, delivery and install of carpet tiling within the event booth location;
Provide sign hanging per the MTCC policies and procedures;
Provide all electrical and lighting requirements and rigging as per the MTCC policies and procedures.

York will only consider Proposal submissions received from Proponents who have registered with MERX (www.MERX.com) for this competitive bid. Proposal submissions from Proponents who have not registered and obtained this Bid Document directly from MERX will be disqualified.

This procurement is covered by Chapter 5 of the Canadian Free Trade Agreement.

Delivery Date:
From the point of contract execution, sixty (60) calendar day implementation, including training and onboarding of students and staff.

Duration of Agreement:
The initial term of the Agreement shall be for twelve (12) months, with four (4) optional twelve (12) month extensions; for a potential Term of sixty (60) months.

Negotiation:
Following evaluation of all Proposals, it is York’s intention to enter into negotiations with the leading Proponents who offers the best overall value to York. York’s intention is to establish a roster of Proponent’s based respectively on the highest to lowest best overall value scores. York reserves the full and sole right to determine how many Proponent’s are included in the roster list.
York reserves the right in its sole discretion to negotiate modifications to any Proposal received without becoming obligated to offer to negotiate with any other Proponent(s).
