The University of Alberta (University) in Edmonton is the largest postsecondary institution in the Province of Alberta with student enrolment of approximately 39,000 full and part time students and academic and support staff of approximately 11,700.
The Lister Classic Renewal project focuses on the upgrade and modernization of Mackenzie, Kelsey and Henday Halls. It is a critical project for the University of Alberta that will positively impact the day-to-day experience of approximately 1500 first year students. It will address deferred maintenance items, building code items and positively transform an existing facility to enhance student life. The project will be executed in multiple phases, one tower at a time. The multi-phased project will have clear, direct and significant benefits to the University and the broader community. It will increase the profile of the University and its student residence programs as well as enhance the overall student academic and residence life experience. The University is committed to transforming the Lister Centre Complex into one of the top first year experience programs in North America.
The first tower to be renovated is the Mackenzie Tower, an 11-storey tower in which the renovation commenced in 2019 and is expected to reopen the fall of 2020. Floors will be released in a top-down approach, 2 floors at a time. Each floor has the capacity for 32 double units and one (1) single unit for a total of 65 beds. The exception is L01 only having 26 double units and one (1) single unit for a total of 53 beds. L00 includes kitchen and laundry facilities for the tower. Total estimated bed count for Mackenzie is ±639 beds. Actual allocation of single units versus double units are still to be confirmed.
The renewals to Kelsey and then Henday Halls would be executed each in their own phase. Kelsey Hall is a 10-storey tower of approximately 424 beds and Henday Hall is another 10-storey tower of approximately 444 beds. The number of beds to be purchased is still under consideration as the allocation of single units versus double units is to be confirmed.
The Housing Union Building (HUB Mall) is located on the east side of campus. HUB services upper-year undergraduate and graduate students where units are offered in a range of studio, 1 bedroom, 2 bedroom and 4 bedroom suites. Since 2015, HUB Mall has undergone phases of renewal yearly and projects to have completion of the other 184 existing units by 2023.
The University of Alberta is inviting proposals for the supply, delivery and installation for residence and guest suite furniture solutions with the intent of implementing a Preferred Supplier Agreement, in accordance with the specifications set out in the RFP. This Request for Proposal (RFP) is issued on behalf of the Office of University Architect working in conjunction with Ancillary Services and Project Management Office.
The University is seeking to enter into a long term business relationship with a proponent to supply, deliver and install residence and guest suite furniture solutions while improving services and achieving a high level of user satisfaction. Proponent’s that can demonstrate their ability to provide value to the University by developing and managing the residence and guest suite furniture standards, the procurement process (from start-to-finish) and installation phase will be critical. Service requirements to include sales, sales support, project management, receiving, installation, deficiency resolution and warranty repair. The specifications and pricing schedule are examples of what is typically purchased for residence suites, but may not limited to these items. The Mackenzie Tower residence suite furnishings will have a separate pricing schedule specific to that project which aims to be in operation for fall of 2020.
It is the University’s preference to award up to two (2) Agreements for two (2) different manufacturer product lines, although the University reserves the right in its sole and unfettered discretion to award the Preferred Supplier Agreement to a single proponent, or multiple proponents for various items.
The University intends to enter into an Agreement for an initial three (3) year term with the option to renew for an additional two (2) one (1) year extensions. Such renewal extensions would be based on satisfactory performance in the initial term and on mutual agreement.
The estimated total yearly volumes for these products are approximately $910,000 CAD annually within the first (3 year) term or $2.7 million over the term of the contract
Mackenzie Tower – Project Specifics
- Furniture delivery is recommended to occur on weekends or weekdays after 5pm due to restricted elevator access. Actual install/placement can occur during normal business hours.
- Earliest furniture delivery is May 1st (still to be determined), the upper 4-5 floors ready for furniture delivery by June 1st,2020, last furniture delivery prior to August 1st, must have completion prior to August 7th, 2020.
- Material must come directly off delivery truck and onto the floor it is to be installed on, there is no available staging area.
- All workers must attend a site orientation prior to beginning any work or accessing site, orientations happen daily at 7:30 and should be pre-arrange. PPE is the responsibility of the proponent.
- Protection to finishes will be in place, any damage to finishes as a direct result of the furniture scope will be the responsibility of the furniture contractor.
- All furniture packaging and debris must be removed from site and spaces left cleaned. Furniture contractor is responsible to also wipe down furniture after installed or before walk through/signoff.
- Floors released to furniture contractor will have minimal to no construction activity, however other trades may require access to the work areas. This will be coordinated onsite.
- All work to be coordinated directly with University Furniture Coordinator, construction project manager and site superintendent. Delnor will remain Prime Contractor throughout the duration of the work and reserves the right to reschedule planned work. Every effort will be made to provide adequate notice of new or changing schedule/logistical requirements.
