Discover Saint John is inviting qualified firms to submit proposals to print the 2020 Official Saint John Visitor Guide.
I. BACKGROUND AND INTRODUCTION
Discover Saint John is a not-for-profit public-private corporation with the mandate for tourism promotion for the Saint John region.
In addition to tourism promotion, Discover Saint John provides staff and management directly for the municipal visitor information centers located in the city.
II. SCOPE OF SERVICES
Discover Saint John is inviting qualified firms to submit proposals to print the 2020 Official Saint John Visitor Guide.
DESCRIPTION
Quantity: 113,500 English + 28,500 French run in tandem
Size: 5.375" x 9" high

Material: Digital file supplied ready for imposition. Incomplete files can be fixed at prevailing selling rates (in consultation) or returned for updating

Cover - #3 Gloss TEXT - 80lb
Text - #4 Web Gloss - 40lb

Ink Colours: 4 colour process throughout
Bindery: Stitched and trimmed to final size. Banded in 25s packed in cartons of 30lb or less
Delivery: Three locations (via ground) in Saint John, New Brunswick no later than Friday April 3, 2020.
Location 1: 10 Market Square, Saint John (the basement of Barbour's General Store).
Must be handbombed. Delivery truck must park on Water Street and handbomb by dolly to the back of Barbour's General Store (approximately 60 feet).
Estimated quantity: 85,500 English, 27,900 French
Location 2: 333 Water Street, Saint John (Diamond Jubilee Cruise Terminal).
Estimated quantity: 22,000 English
Location 3: 1509 Highway 1 West (Saint John Visitor Information Centre).
Estimated quantity: 6,000 English, 600 French
Final quantities to be provided prior to delivery once the quantity per box is known.
III. TIMELINE
-March 13, 2020: Marketing agency to submit files to printer
-March 18-19, 2020: Printer proofs sent to marketing agency to proof
-April 3, 2020 (no later than): Visitor guides delivered to Discover Saint John
IV. PROPOSALS
CONTENT
Responses must conform to the requirements for this RFQ. Discover Saint John reserves the right to waive any irregularity in any proposal or to reject any proposal for any reasons. Discover Saint John, on criteria determined by the corporation, will make selection of the proposing individual or firm.
Your proposal is expected to cover the following:
Experience and Responsibilities
1. Confirm timeline for receiving artwork and proof turnaround to meet delivery deadline.
2. Provide sample of stock to be used for text and cover.
3. Provide a minimum of three references for past work.
Fees
4. Provide pricing for the quantity listed above including all associated freight costs.
5. Provide price guarantee for a specified time period.
CONTRACT REQUIREMENTS
The successful proposing individual or firm will be required to enter into an agreement; which may include the requirements of this RFQ as well as other requirements to be negotiated. By submitting a proposal, the proposing individual or firm agrees to all of the terms in this RFQ.
PROPOSAL SUBMISSION
Interested and qualified firms must submit one hard copy - including stock sample - by December 13, 2019 no later than 3:00 p.m. All late or incomplete submittals may be rejected. No verbal or electronic submittals will be accepted. Submittals must be addressed to:
